V02102026_01
1.0 Project Scope, Estimates, and Design Phase
1.1 Quotation Validity
The provided quotation maintains validity for a period of thirty days, subject to fluctuations in underlying material pricing.
Financial terms are subject to adjustment for project bookings secured beyond this specified timeframe.
1.2 Project Initiation Delay
Should the project fail to enter the production phase within ninety days post-booking, the quoted pricing structures and formal terms may be revised to align with current administrative updates and rate schedules.
1.3 Preliminary Estimations
The stipulated rates serve as preliminary estimations based upon initial architectural designs and standard dimensions.
These valuations remain subject to modification until the final sign-off and production stage, strictly contingent upon precise measurements obtained during site marking, or subsequent design and material alterations mandated by the client.
1.4 Minimum Project Valuation
1.4.1 The initiation of an order necessitates a minimum total project execution valuation of INR 30,00,000.
1.4.2 To formalize an order commission with Bhavasthapatya, the financial quotation must reflect a minimum valuation of INR 25,00,000 (exclusive of applicable taxes) specifically allocated to woodwork components.
1.4.3 The financial scope allocated for Veneer or Polyurethane (PU) finishes within the project must meet or exceed a minimum threshold of INR 5,00,000.
1.5 Design Phase Limitations
The formal design phase is restricted to a maximum duration of sixty days, which encompasses a maximum of six formalized design meetings and a provision for up to three distinct design iterations.
Clients are required to provide comprehensive feedback within seven days of any design submission.
Delays in the provision of feedback shall automatically extend the project timeline and be formally classified as a client-induced delay.
Any structural or design alterations requested subsequent to the final sign-off shall incur supplementary redesign fees and proportional timeline extensions.
1.6 Scope Lock
Once a specific spatial zone has undergone the formalized design process, it may not be subsequently excised from the project's authorized scope of work.
1.7 Two-Dimensional Drawings and Three-Dimensional Renderings
Formal 2D drawings and 3D renderings shall be provisioned solely upon the definitive finalization of the design and scope.
Two-dimensional (2D) redline drawings are provided exclusively for payment milestone (as outlined in Clause 3.1).
Renderings for the finalized design shall be generated on a scale of 1:100.
Three-dimensional (3D) renderings are provided exclusively for conceptual and visual reference to illustrate design intent.
Physical execution, manufacturing, and installation shall be strictly governed by the approved two-dimensional (2D) technical drawings, client-accentuated dimensions, structural specifications, and final material codes.
In the event of any perceived visual discrepancy between the 3D renderings and the 2D technical drawings, the 2D drawings shall unconditionally prevail.
1.8 Intellectual Property
All designs, renderings, and technical drawings remain the exclusive intellectual property of Bhavasthapatya and shall not be disseminated to, or utilized by, any third-party entities.
1.9 Documentation Rights
Bhavasthapatya retains the intellectual and professional right to systematically document and showcase the completed project for promotional, archival, and academic purposes.
1.10 Bill of Quantities Variance
Following the site marking phase, a standard operational variance of approximately 5% in the total project cost and the Bill of Quantities (BOQ) shall be anticipated.
This stipulated variance serves strictly as a preliminary estimate.
Final financial billing shall be rigorously calculated based upon actual on-site measurements and definitively finalized material selections.
Client remains legally liable for the aggregate actual cost, irrespective of whether the final variance exceeds the initial 5% estimation.
1.11 Deemed Drawing Approval
Final 2D technical drawings and project schematics transmitted to the client via official electronic mail shall be subject to a seven-day review period.
The client shall fail to provide explicit written approval or formal modify requests within this stipulated timeframe, the drawings shall be legally classified as "deemed approved".
Upon such deemed approval, the design shall be locked for immediate production, and any subsequent alteration requests will be subject to redesign fees and proportional timeline extensions.
1.12 Specialized Spatial Designs
The standard design scope explicitly excludes specialized architectural zones.
The comprehensive design and detailing of toilets, terraces, balconies, and exterior landscaping can be categorized as supplementary services and will be billed as independent, separate line items.
2.0 Project Timelines and Execution
2.1 Standard Execution Timeline
The anticipated completion timeline for standard project execution is 120 working days, commencing upon the formal receipt of 70% of the total quotation value requisite for production initiation.
2.2 Extended Execution Timeline
For project scopes exceeding an INR 25,00,000 valuation, the execution timeline is projected between 120 and 150 days.
2.3 Timeline Dependencies and Pauses
All projected timelines are inherently susceptible to variations.
The formal execution timeline shall be officially paused for periods encompassing: (a) delayed client payment remittances, (b) delayed client design or material approvals, (c) working hour restrictions or access limitations imposed by the property developer or builder, and (d) force majeure events.
Furthermore, Bhavasthapatya assumes no responsibility or timeline liability for rectifying pre-existing architectural or builder-induced defects (e.g., unleveled walls, structural anomalies) unless explicitly itemized and billed within the finalized project scope.
2.4 Right of Termination
Both parties retain the prerogative to terminate the project agreement at any juncture in the event of demonstrably unsatisfactory progress.
Upon the execution of such termination, all prior financial disbursements made by the client up to that point shall be deemed entirely non-refundable.
2.5 Strict One-Phase Execution
The project shall be authorized for production and execution in a single, consolidated phase.
The scope of work is explicitly and immutably defined at the design sign-off stage.
Bhavasthapatya shall not accept, entertain, or execute any requests for additional woodwork during the later stages of execution.
Unforeseen service works are strictly governed by Clause 3.8.
3.0 Financial and Payment Terms
3.1 Payment Terms for Woodworks
3.1.1 An initial deposit of 10% of the total value, or INR 2,50,000 (whichever constitutes the greater amount), is required as a booking sum to validate the order and commence the formal design phase.
3.1.2 A secondary installment of 30% is mandated prior to the commencement of the material selection process.
3.1.3 A third installment of 30% is requisite upon the final sign-off of the design schematics and the initiation of pre-site marking.
3.1.4 The remaining balance of 30% (or the outstanding aggregate amount) must be cleaned prior to the physical dispatch of materials to the project site.
3.2 Payment Terms for Services
A 100% advance financial remittance is strictly required before the initiation of any auxiliary service-related works at the project site (including, but not limited to, civil works, painting, plumbing, core cutting, gas piping, and electrical modifications).
The formal quotation and precise financial valuations for these service domains can only be prepared and finalized subsequent to the completion of production drawings, their formal approval by the client, and the formal site-marking phase.
3.3 Additional Line Items
Non-standard hardware selections, including specialized handles and knobs, shall be treated as supplementary line items subject to additional costs.
3.4 Procurement and Project Management (PMC) Charges
Fees pertaining to Project Management Consultancy (PMC) and service charges for the procurement of loose furniture, appliances, or bespoke artifacts on the client's behalf shall not adhere to a fixed percentage, but instead will be mutually discussed, formally agreed upon, and documented prior to procurement.
3.5 Logistical and Holding Charges
3.5.1 In the event that manufactured products are prepared for dispatch at the facility, but delivery is impeded due to site unreadiness or factors attributable to the client, Bhavasthapatya reserves the right to levy a daily storage holding charge of INR 1000 until dispatch operations can be successfully facilitated.
3.5.2 For project sites located beyond standard operational jurisdictions (outstation), logistical transport and installation labor shall be calculated as supplementary financial charges, directly contingent upon the precise geographic location.
3.6 Refund and Cancellation Policy
3.6.1 Bhavasthapatya strictly prohibits refunds and does not accept operational cancellations following the confirmation and subsequent processing of an order.
By formally procuring these services, the client explicitly acknowledges and consents that all financial transactions and remittances executed at their respective project milestones are unequivocally non-refundable and final.
3.6.2 Non-manufacturing defects and cosmetic damages reported subsequent to the formal acknowledgment of delivery do not qualify for return or replacement protocols.
Customized and bespoke furniture commissions procured through Bhavasthapatya are strictly non-returnable and non-exchangeable.
3.7 Late Payment Penalties
Any financial remittances delayed beyond three (3) working days from the formal invoice issuance date shall attract an interest penalty of 15% per month (18% per annum) applied to the outstanding balance.
Under such circumstances, Bhavasthapatya reserves the unequivocal right to halt all site operations, suspend workflow, and withhold deliveries until all outstanding dues, inclusive of accrued interest, are fully cleared.
3.8 Unforeseen Service Additions (Running Bills)
While the primary project scope is formally locked prior to execution, any unforeseen, unavoidable, or mandatory additions specifically pertaining to site services (e.g., hidden civil, electrical, or plumbing requirements discovered during execution) shall be appended to a supplementary running bill.
Financial remittance for such running bills must be processed and cleared by the client within seven (7) days of the invoice issuance date.
4.0 Client Obligations and Site Responsibilities

5.4 Site Handover and Deemed Acceptance
The formal handover of the project site is compulsory prior to the admittance of any third-party vendors and must be executed within a ten-day period following Bhavasthapatya's formal notification of project culmination.
Deemed Handover: Should the client fail to conduct the requisite site inspection and formally accept the handover within this stipulated ten-day period, the site shall be legally classified as "deemed handed over".
This classification shall automatically trigger the commencement of the warranty period and render all outstanding financial balances immediately and unconditionally payable.
5.5 Post-Installation Cleaning
Following installation, the ensuring standard site services shall be provisioned: general dusting, sweeping, and mopping of accessible surface areas, alongside the internal cleansing of wooden cabinetry.
Extensive deep cleaning procedures necessitating specialized mechanical apparatus fall entirely outside the defined standard scope of work, but a water-and-vacuum-based deep cleaning service (excluding chemical cleaning) may be procured by the client at an additional itemized cost.
5.6 Client Interference and On-Site Deviations
Bhavasthapatya assumes no liability for site issues, structural anomalies, or aesthetic defects that arise as a direct result of the client forcing opinions, ad-hoc changes, or unauthorized deviations from the officially approved 2D drawings during the execution phase.
5.7 Ancillary Vendors and Appliance Installation
Bhavasthapatya may recommend or introduce ancillary third-party vendors (e.g., specialized painters, fabricators) strictly in good faith.
Bhavasthapatya explicitly disclaims any operational or financial responsibility for the works, delays, or defects of such independent vendors.
Furthermore, the Bhavasthapatya installation team shall not execute, nor be compelled to execute, the installation of any electronic appliances or white goods (e.g., hobs, chimneys, televisions).

7.0 Warranty Policy and Exclusions
7.1 General Warranty Standard
The Bhavasthapatya warranty is instituted to ensure a premier home design standard.
Through the execution of rigorous quality assurance protocols, products are certified to be devoid of material and manufacturing defects.
The engagement of these services constitutes a formal confirmation that the client has reviewed, understood, and consented to be bound by the stipulations delineated within this Policy.
Bhavasthapatya shall honor its warranty provisions contingent upon the supplied and installed product being appropriately maintained and utilized exclusively for standard domestic purposes.
7.2 Woodwork Structural Guarantee
A five-year warranty is provisioned on woodwork specifically concerning identified manufacturing or installation defects.
Applicable to Plywood, BWP Plywood, Blockboard, and Commercial Plywood, this constitutes a structural guarantee that covers material delamination, edge band peeling, bubbles in lamination, and borer infection.
It further covers structural bending exceeding 8mm, provided such deformation is caused by prevailing weather conditions and atmospheric moisture levels.
7.3 Manufacturer Warranties and Intermediary Status
Bhavasthapatya operates strictly as an intermediary regarding third-party materials, accessories, hardware, and appliances.
All respective warranties are transferred unconditionally to the client.
Bhavasthapatya assumes no liability for the product policies of these manufacturers, and any subsequent alterations or revocations of warranty terms enacted by the manufacturer shall immediately and automatically apply to the client.

7.5.2 The client permits repair or modification of the product by unauthorized third parties rather than the official Bhavasthapatya maintenance team.
7.5.3 The products have been situated within a highly humid environment, or utilized for non-domestic or exterior outdoor purposes.
7.5.4 Dismantling and relocation procedures are executed by individuals other than qualified and authorized Bhavasthapatya representatives.
7.6 Force Majeure and External Factors
The warranty policy shall not cover architectural or material defects arising from circumstances beyond the reasonable control of Bhavasthapatya, including but not limited to natural calamities (e.g., earthquakes, cyclones), vandalism, Acts of God, pre-existing structural coatings, or failures inherent to the base architectural structure.
8.0 Claims Process and Liability
8.1 Liability Limitations
Bhavasthapatya shall exercise all reasonable efforts to replace or repair the defected identified within a commercially reasonable timeframe.
Bhavasthapatya assumes no liability for any direct, indirect, incidental, or consequential commercial or personal losses incurred by the user resulting from the product, either in service provision or finish, arising from design, application, or installation protocols.
Under no circumstances shall Bhavasthapatya's liability exceed the initial purchase price of the product or the cost of its rectification.
In no event, shall Bhavasthapatya's aggregate liability arising out of or related to this agreement exceed the total financial amount actually paid by the client to Bhavasthapatya for the specific defective line item in question.
8.2 Notification Requirements
Bhavasthapatya must be formally notified via telephone or electronic mail within ten days of the discovery of any defect.
Notifications submitted beyond this stipulated timeframe shall result in the voiding of the applicable warranty.
8.3 Evaluation and Discretion
Any determination regarding the repair of a contested component rests solely with the authorized Bhavasthapatya representative following a comprehensive on-site inspection.
The primary evaluation entails an initial attempt to repair the defective materials.
Only in instances where the Bhavasthapatya assessment team determines that repair procedures are unfeasible shall the woodwork be authorized for full replacement.
8.4 Replacement Subject to Availability
Approved repairs or replacements are strictly subject to the current product offerings and construction options available within the Bhavasthapatya inventory at the time the claim is processed.
Should a product be obsolete, it shall be substituted with a replacement unit of comparable style.
Bhavasthapatya reserves the right to amend product specifications for continuous product evaluation and structural improvement.
8.5 Excluded Claim Costs
Any incurred expense towards labor, installation, or transportation costs.
Any supplementary labor or material requirements executed beyond the scope of rectifying the primary identified defect shall be deemed chargeable to the customer.
The financial costs associated with the dismantling, reassembly, and relocation of products shall also be the responsibility of the customer.
8.6 Upgrades During Claims
Should the client be required to procure and install a higher-grade material under the Woodwork Warranty provisions, the client waives the right to claim or recover the differential financial value of the upgraded material.
8.7 Warranty Lifecycle
Upon the formal settlement of any claim, the original warranty period shall not be renewed or extended.
8.8 Alternative Accommodations
Bhavasthapatya holds no obligation to finance or provide alternative residential accommodation during the execution of repair works.
8.9 Complimentary and Chargeable Service Visits
A single, complimentary service visit is provisioned within three months following the formal site handover.
Given the mechanical complexity and moving parts inherent to the installed products, any subsequent service or maintenance requests initiated post-complimentary service shall be subject to a standard logistical charge of INR 1000 per visit.
9.0 Dispute Resolution and General Provisions
9.1 Jurisdiction
In the event of legal disputes, jurisdiction shall be exclusively vested in the competent courts of the respective operational cities.
9.2 Pre-Litigation Process
Neither party is permitted to initiate formal court or arbitration proceedings pertaining to the warranty policy prior to the completion of the internal Bhavasthapatya evaluation process.
In the event of premature legal action, the warranty policy shall be deemed null and void as the matter will be considered sub judice.
9.3 Confidentiality
The factual circumstances and all details concerning any dispute must be maintained in strict confidentiality by both the client and Bhavasthapatya.
9.4 Contact Information
For technical inquiries regarding this Policy or to facilitate the management of warranty and service protocols, official correspondence may be directed to Bhavasthapatya Care (bhavasthapatyacare@bhavasthapatya.com).
